The works order process

Introduction

The works order process involves either...

    selecting a set of scheduled tasks, sending them out to one or more service providers for implementation (direct and reactive orders)

or...

    creating a works enquiry, then converting a returned works enquiry into an order

There are additional options in Flow360 to allow orders to auto-repeat where appropriate and also to allow service providers to self-sign-off works once completed, obviating the need for someone else to inspect and sign-off the works. This is most useful for frequently repeating task cycles such as cleaning, grounds maintenance, regular inspections or security patrols.

The steps in the works order process (direct orders & reactive maintenance)

  1. Manager creates new order - Follow the instruction in the section Creating tender enquiries, works enquiries and orders to create and send out the orders.
  2. Service provider receives order and completes work required - follow the instructions in the section Actioning a works order.
  3. Surveyor inspects and signs-off the work - follow the instructions in the section Signing-off a works order.

The steps in the works order process (planned maintenance / scheduled tasks)

  1. Manager creates new enquiry - follow the instruction in the section Creating tender enquiries, works enquiries and orders to create and send out the orders.
  2. Service provider receives and responds to enquiry - follow the instructions in the section Responding to a works enquiry.
  3. Manager receives the returned works enquiry and converts it into a confirmed works order - follow the instructions in the section Converting an enquiry into an order.
  4. Service provider receives order and completes work required - follow the instructions in the section Actioning a works order.
  5. Surveyor inspects and signs-off the work - follow the instructions in the section Signing-off a works order.
