Flow360 Privacy Policy

Here at Flow360 we take the protection of our customers and visitors data very seriously. We only collect what we need to, and we never share this with third parties. The software data we collect is kept on highly secure servers in a data centre in the Netherlands and is protected by sophisticated Firewalls and Passwords.

Any personal data which is accessed on a company computer or telephone is protected by password to prevent general access or a data breach.

About this Policy
From time to time, Flow360 Limited collects certain personal information about customers, visitors to our website and people who may contact us in other ways such as over the phone or by writing to us. This Privacy Policy explains what types of personal information we hold and how that information is used so please read it carefully. By providing personal data to us in any way, you consent to our use of your personal data in accordance with this Privacy Policy.

If you are a young person and are not yet 14 years old, you should only send us any information about yourself with the agreement of your parent or guardian.

The personal data we hold
The personal data which we collect from you may include your name, address, telephone number and e-mail address. Depending on why you contact us, the information we hold may also include details about your place of work, job title and position.

We may collect personal data when you visit our website and will do so when you order a product, take training with us, trial a product, raise an enquiry with us or if you provide feedback. We will also collect your personal details if you raise an enquiry about being a trainer or reseller.

If you contact us by telephone, by email, submit an enquiry or if you write to us, the content of those communications may also include personal data and we may keep a copy of that correspondence on our records.

We might in some cases, collect more detailed information from you, including sensitive personal data. This will include if you respond to a job advertisement or send us a CV or an enquiry about working with us. We might collect information from you about any disabilities that you may have in order for us to make reasonable adjustments if necessary for example, if you attend an interview with us.

If you provide us with information about any other person, for example any other individuals within your organisation, then you must ensure that you have consent to pass those details to us and for us to use those details in accordance with this Privacy Policy. 

How we use personal data
When we collect personal information from you, it will be held on our records and used for the proper administration of our business, including where relevant, for the purposes of providing our products and services to you (or the organisation which you represent), to tell you about matters which are relevant to those products and services and to deal with any enquiries or complaints which you may raise. 

We may also use information for other business purposes such as market research activities that we may undertake on occasion and also for administering any competitions or other promotions that we may run.

We may also from time to time, use your personal information to contact you about promotional offers for other products and services which we think may be of interest. We may in some cases, also seek your feedback. However, we will provide you with an option within every promotional communication to opt out of receiving any further communications of this nature or you can contact our customer services department at any time to ensure that you do not receive such promotional information.

Any information we collect from you through correspondence with us, whether via e-mail, over the phone or by written letter, will only be used to address the matters within that correspondence. If this involves referring such correspondence to a third party to ensure customer service, your personal information will only be disclosed to the point necessary to address your query or concerns and we will make clear that the information is to be treated confidentially.

From time to time we might also appoint external third parties to help us with our business functions for example, external consultants and sub-contractors. We therefore may make your data available to those entities if reasonable to do so as part of our usual business practices.

We take reasonable steps to protect the confidentiality of the personal information supplied by you. However, the transmission of information via the internet can never be guaranteed as entirely secure and therefore any transmission of data is at your own risk. 



Our Rights
We may disclose personal information where required to do so by law, to exercise our legal rights or defend ourselves against legal claims and may share information with law enforcement authorities to investigate or prevent illegal activities being committed over our network. We may also monitor user and network traffic for site security purposes and may use any information, including personal data to prevent any unauthorised attempts to tamper with our website or cause damage to our property. We also reserve our rights to disclose your personal information either where you have given us explicit legal written consent to do so or otherwise where we may do so in accordance with applicable data protection legislation. 

Your rights
If you do not wish us to collect and use your personal data as set out in this Privacy Policy then you should refrain from sending any such information to us. By providing information to us, you will be taken to have given your consent to the use of your personal information in accordance with this Privacy Policy. 

Access to your Personal Information. (Subject Access Request)
You are entitled to view, amend, or delete the personal information that we hold. Email your request to our data protection officer, David Rookwood. Any such requests should be made in writing and should be addressed to info@flow360.net. These requests will be dealt with as swiftly as possible - Usually within 3-5 Business days.

We also have an obligation to ensure that the information which we hold about you is accurate and up to date. You have the right to ensure that any inaccuracies in your personal data are corrected or removed. To assist us in ensuring that the personal data which we hold about you is accurate, please notify us of any changes in your personal details (such as a change of address or telephone number). 

Data Breach
In the highly unlikely event of a breach of personal data (name, email address etc) we will seek to make immediate contact with those individuals by email no later than 24hrs of the breach being made aware to us. We will work with the relevant bodies to secure all data held.

This website uses cookies. You can find out more information about cookies and the way in which we use them in our Cookies Statement which you can access here. 

Google Analytics
When someone visits www.flow360.net we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. 

Mailing Lists
We use a third-party provider, MailChimp, to deliver our Updates Newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing our data protection officer David Rookwood. Please be aware if you do unsubscribe you may miss out on important updates to the Flow360 Service.

We may change this Privacy Policy or update it at any time.
