Finding objects from the start screen

Introduction

On the start screen some of the buttons will have a quick find facility, indicated by a text entry line underneath the button text and the grey text Find.... The text entry line will only be visible for those areas where a quick find is appropriate and of course, the actual buttons you will see depends on who you are and how you have set up your preferences!

In this case we are logged in as a manager and we can see quick search text entry lines for Sites (or My SIte), Contacts, Employees, Documents, Qualifications, Reports, Helpdesk, messages, Bookings, Courses

These allow you to jump from the start screen directly to an object without having to drill down through lists. See below for examples for each type of quick find.

Finding resources by name

Although the button text reads SItes you can in fact search for any location by name, simply be entering part of the name and pressing the RETURN key on your keyboard. In this example we are looking for location that include the text 'plant' in their name.

If your entered text string only matches with one resource you will be taken directly to the relevant record card. If it matches with more than one (as in this case) you will see a list of all the matching objects with a summary of the search string used (1) and confirmation of how many matches were found (2).

To jump directly to the relevant card click the Goto button (3) on the appropriate row.

Search results with too many matches

If the search text you enter is too general (in this case 'door') and therefore matches with more than 200 objects only the first 200 will be listed. As before the search string used will be shown at the top of the list (1) along with a message suggesting that you use a more specific string instead (2)!

Finding resources by custom data

It is also possible to locate any resource from information entered in its custom data list.
To do this you need to tick the 'extend search' option to the left of the Sites text search box.
In this example we are looking for all resources manufactured by Broag, so we first tick the extend search option and then simply enter broag in the Sites quick search field and press the RETURN key.

In this case we have located 7 resources all manufactured by Broag

Finding a door to match a key number

Supposing we have a key number but don't know which door it belongs to. Simply enter the key number in the SItes quick search field and press the RETURN key.

In this case the key number entered matched with only one resource - the lock for the door to the office on the ground floor of the admin block. The key number was entered as a custom data item for the lock, itself a component of the door!

Finding enquiries or orders by reference number

You can jump directly to an enquiry or order just by entering part of the reference number in the Works quick search field. In this case we want to see an order with the reference m/ord/109. You don't have to enter the full reference, just enough of it to be unique!

In this case the entered reference was unique, matching only one record and therefore we have been taken directly to the relevant works order card. Had the entered sting matched with multiple records we would have been taken to a list instead.

Finding a contact by name

To quickly locate a contact from your contacts list, enter part of their name into the Contacts quick search field and press the RETURN key.

In this case, 2 contacts matched with the entered string of 'dav' so we see a list of matching contacts. Had only one record matched the entered string we would have been taken directly to the relevant contact card.

Finding reports by name

You can quickly locate a report by name by entering part of the report title into the Reports quick search field and pressing the RETURN key on your keyboard.

In this case, 5 report titles matched with the entered string of 'tasks list' so we see a list of matching reports. Had only one record matched the entered string we would have been taken directly to the relevant report.

Finding occupancies by reference number

You can quickly locate an occupancy by reference by entering part of the reference into the Occupancies quick search field and pressing the RETURN key on your keyboard.

In this case, 4 occupancies matched with the entered string of '2' so we see a list of matching occupancies. Had only one record matched the entered string we would have been taken directly to the relevant occupancy record.

Finding Helpdesk issues by summary or details

In this case we want to find any Helpdesk issues that have logged that relate to 'mirror'. Enter 'mirror' and click Return.

In this case, 7 Helpdesk issues matched with the entered string of 'mirror' so we see a list.. Had only one record matched the entered string we would have been taken directly to the relevant Helpdesk issue record.

Other options

There are other buttons that have this facility as well - if the quick find entry box is there, use it to get where you want fast!
